Personal Assistant

We're seeking to recruit a Personal Assistant (PA) to join our Executive Committee.

Duties and responsibilities

As a PA the selected candidate will work directly with the Bank's executive management and also interact with the Board of Directors, providing the necessary support and organisation required.  You will also act as the first point of contact with people from both inside and outside the organisation on matters pertaining to the executive management and Board of Directors. 

You will be responsible for:

  • understanding the organisation's aims and objectives as they evolve;
  • devising and maintaining office systems, including data management and filing in an efficient and effective manner;
  • making the necessary travel, visas and accommodation arrangements, and managing budgets for such;
  • taking meeting notes and/or minutes and/or providing general assistance during presentations or committee meetings;
  • handling phone calls, enquiries and requests, as appropriate;
  • meeting and greeting visitors at all levels of seniority;
  • organising, coordinating and maintaining diaries of the Executive Committee members;
  • working closely with the Company Secretary on correspondence on behalf of the Executive Committee / Board of Directors on communication required by Listing Rules, and other matters of correspondence as required;
  • assisting the Company Secretary in the coordination of Board meetings and/or Board Sub-Committee meetings;
  • working closely with the Company Secretary to act on instructions, decisions and correspondence cascaded by the Board of Directors and Executive Committee;
  • producing documents, briefing papers, reports and presentations; and
  • liaising with Heads of Department, clients and other stakeholders at different levels of seniority.

Competencies and experience

The selected candidate should have a positive can-do attitude, be highly presentable, well-organised, have a strong aptitude to learn and be a team-oriented individual.  

You must:

  • adopt a highly meticulous and methodological approach to work;
  • possess excellent time management skills;
  • be calm under pressure, a fast thinker, flexible, dependable and highly adaptable to changing priorities and requirements;
  • be capable of working to tight deadlines with a high degree of attention to detail;
  • be resilient and solutions driven;
  • have excellent interpersonal skills with the capability of managing upwards including very senior positions;
  • possess a strong command of both written and verbal communication skills, in both English and Maltese;
  • maintain the highest levels of honesty and confidentiality at all times; and
  • be proficient with MS Office applications.

A minimum of 5 years prior working experience, ideally in a similar role with an international organisation and capable to work flexible hours are considered critical for the role.
